Repeat boarding guests: how to use the PawsPet Business customer record
In this article
  1. First time: create the customer and their pet
  2. Each stay: record what you want to find again
  3. At the next booking: find everything again
  4. If the customer uses the PawsPet app: invitation and information they receive
  5. Customers who don’t return: archive, don’t delete
  6. Where to start

For the first booking, create the customer and their pet, even if the customer isn’t registered with PawsPet. For each stay, record in the pet’s profile anything worth finding again. When they book next time, search for the customer or pet and review everything before arrival.

The PawsPet Business mobile app requires a business profile: without one, the “Customers” tab shows “You’re not a business yet”; customer management remains available even before you complete Stripe verification.

First time: create the customer and their pet

  1. Open “Customers” » “+”. Enter “Name”, which is required, and optionally “Email” and “Phone”.
  2. Under “Notes”, add stable contact and organizational preferences, for example, “Prefers phone calls after 6 pm”. These are private shop notes: the customer never sees them.
  3. Check the required box “I confirm that I have informed the customer that their data is being recorded.” Tap “Next: add a pet” to save the customer and go straight to the pet form, or “Skip, customer only” to stop at the customer record.
  4. In the quick flow, enter the pet’s required “Name” and any available details: “Species”, “Breed”, “Sex”, “Date of birth”, “Neutered”, “Color”, “Microchip number”. Under “Notes”, write stable habits, such as usual meal times. Finish by tapping “Done”.

If you saved only the customer, use “Add pet” from their profile later.

Avoid the old “Medical notes” field in the pet form: when entries have been made using “Record”, those notes no longer appear under “Health” or “History”.

Each stay: record what you want to find again

  1. Open the customer and tap the pet in the register. Under “Health”, “Measurements” or “Activity”, use “+”, or tap “Add” next to a section.
  2. In the “Record” sheet, choose the “Type”: “Vaccine”, “Treatment”, “Allergy”, “Visit”, “Grooming”, “Activity”, “Weight” or “Note”.
  3. Enter the required “Name”, then “Date”, “Expiration” and “Notes” when useful. For “Weight”, enter “Value (kg)”; you can attach a photo. Tap “Save”.

Practical examples for boarding:

  • “Weight” at drop-off and pickup, if you weigh guests.
  • A “Note” titled “Stay [dates]”, describing under “Notes” what worked and what to change.
  • “Allergy”, specifying that it was reported by the owner.
  • “Vaccine” or “Treatment” with an “Expiration” date, if you check the documents provided: an expired date appears in red.

These entries do not establish the facility’s health requirements. Each entry is saved separately: two people at the facility can add entries for the same pet without overwriting each other’s. To edit an entry, tap it in the list.

“Note” entries remain in “History” under “Health”; weights have a chart and list under “Measurements”.

At the next booking: find everything again

  1. In “Customers”, the “Search customers or pets…” bar searches by the customer’s name, email or phone, or by the pet’s name, species, breed or microchip. When the search is empty, the icon on the right switches to “Customer pets”: a red dot indicates expired dates.
  2. Open the customer’s record and review their “Notes” and the pet’s notes. Find individual records under “Pets”; “History” » “See all”, when available, brings together entries, past appointments, orders and customer notes. “Recent orders” appears if there’s a linked account.
  3. Under “Upcoming appointments” » “Add”, open the form with the customer already selected. To schedule drop-off or pickup, fill in “Title”, “Start” and “Duration”, then tap “Save”.

Default durations range from 15 to 240 minutes; a service option may offer a different duration. “All day” covers a single day: do not use an appointment to represent a stay lasting multiple days.

If the customer uses the PawsPet app: invitation and information they receive

  1. For a customer who is “Not registered” and not archived, open “⋮” » “Invite”. Edit the prefilled message and tap “Share”: choose which app to send it with; nothing is sent automatically.
  2. The customer opens the link in the PawsPet app and, after signing in, chooses “Link” for each pet if a match is found, “Create new” or “Skip”. If they choose “Create new” and the date of birth is missing, they must enter it.
  3. They also decide whether to allow you to view each pet’s health record: the option is off by default. After they accept, the record becomes “On PawsPet”.

If the feature is active on the server, the owner can find your entries in the pet’s record under “Recorded by professionals”, with the type, date and any expiration date. Don’t assume they can read the full text of each note you add. They can add notes visible to you, but cannot edit your data.

Their notes arrive in “History” as “New note from {name}”, in bold, with a yellow dot on the customer’s initial in the list. These indicators remain even after the notes have been read: there is no command to mark notes as read.

With “Disconnect from PawsPet”, you only lose the connection: the record and recorded data remain.

Customers who don’t return: archive, don’t delete

  1. In the customer’s record, open “⋮” » “Archive” and confirm: they leave the active list, while their history remains available and their pets become read-only.
  2. To restore it, use “Customers” » “Archived” » “Restore”.

The customer record cannot be permanently deleted. “Delete” on a pet, however, permanently removes the pet and all its history from the management system.

Some features, including invitations, “History”, restoring archived customers and “Link one of my pets”, depend on the server: they may show “Available with the next server update” or may not appear; no action is required. The calendar also requires server support.

Where to start

Create records today for your most frequent customers and their pets, then record their next stay. At the next booking, review the information and confirm any changes with the owner.
