In the PawsPet Business app (iOS and Android), a client’s pet history is always recorded the same way: the «Clients» tab » client » pet » «Health», «Measurements», or «Activity» profile » yellow «+» or «Add» » «Record» sheet » type, «Name», and details » «Save». This works for vaccinations, treatments, allergies, visits, grooming, weights, and activities. The key caveat: always use «Record» for the history, not the pet form’s «Health notes» field, because once at least one record exists, health notes added through the form are no longer displayed.
Before you record: the right store, client, and pet
If your account manages multiple stores, check which one is active using the store-switching icon in the top bar: clients and pets always belong to one store only.
Find the client with «Search clients or pets…»: search also works by the pet’s name, species, breed, and microchip number. If the pet is missing, tap «Add pet» on the client profile. For a new client, use «+» in the «Clients» tab, enter their name, check the required box «I declare that I have informed the client that their data is being recorded», and tap «Next: add a pet».
Records are entered for pets in your store’s register. Pets labeled «owner profile», visible on the linked client’s profile, are read-only previews and can’t be opened. The «On PawsPet ✓» badge indicates a pet in your register that has been matched to the same pet on the client’s account: you can still edit it.
If «The management system is coming soon» appears, the feature is not yet enabled on the server: there’s nothing you need to do; it will become available automatically.
Recording an entry step by step
- Open the pet from the «Pets» section of the client profile or from the search results: you’ll find the «Details», «Health», «Measurements», and «Activity» tabs.
- Tap the yellow «+» at the bottom right: it offers «Vaccination» under «Health», «Weight» under «Measurements», and «Activity» under «Activity». Alternatively, use «Add» beside one of the «Vaccinations», «Therapies and treatments», «Allergies and intolerances», or «History» sections to preselect the type.
- In the «Record» sheet, choose the type: «Vaccination», «Treatment», «Allergy», «Visit», «Grooming», «Activity», «Weight», or «Note».
- Fill in «Name» (required, for example, the name of the vaccine), «Date» and «Due date» (optional), «Value (kg)» for «Weight» only, and «Notes».
- If needed, attach a photo from the camera or gallery; tap ✕ to remove it before saving.
- Tap «Save».
To correct an entry, tap it in the list: the sheet reopens with the title «Edit record».
Where each type appears
| Type | Where to find it |
|---|---|
| «Vaccination» | «Health», «Vaccinations» section |
| «Treatment» | «Health», «Therapies and treatments» section |
| «Allergy» | «Health», «Allergies and intolerances» section |
| «Visit», «Grooming», «Note» | «Health», «History» section |
| «Weight» | «Measurements», chart and list |
| «Activity» | «Activity», list |
For example: a groomer records a «Grooming» entry with the date and a note about the work done (under «History»); a pet sitter who weighs a dog enters a «Weight» with a «Value (kg)» (under «Measurements»); a veterinarian records a «Vaccination» with a «Date» and «Due date» (in the «Vaccinations» section).
Due dates and History: finding completed work
On the «Health» profile, an entry with a past due date displays a red label. For a periodic check, open the «Client pets» view (the icon to the right of the search bar in the «Clients» tab, with the search field empty): a red dot with a number appears beside pets with past due dates.
Each record also updates the client’s «History». Find it on the client profile, under «History» » «See all»: it lists records, past appointments, orders, and client notes in date order. Entries with due dates show «due on» or, if the date has passed, «overdue since» in red. If the server does not yet support this history, the section won’t appear. Each record is saved separately and does not overwrite any others.
On a computer, in the web app.pawspet.it » «Clients», the client’s pet profile has a «Record» button with the same types.
When a due date is approaching, you can schedule the next appointment from the client profile: «Upcoming appointments» » «Add» opens the new appointment form with the client already selected.
Records, private notes, and old health notes: what to write where
| Where you write | What it’s for | Who can see it |
|---|---|---|
| «Record» sheet | Professional history for the pet | The linked client: type, date, and any due date under «Recorded by professionals», when the feature is enabled |
| «Notes» on the client profile | Internal notes about the client | The client never sees them |
| «Notes» on the pet form | Internal notes about the pet | Store staff only |
| «Health notes» on the pet form | Retained for compatibility | See below |
The practical risk is in the last row: once the pet has at least one entry made with «Record», health notes added through the form are still saved but no longer appear under «Health» or in «History». That’s why vaccinations, treatments, and allergies should be recorded using «Record». Also, don’t rely on the record’s «Notes» field to pass information on to the client: the details visible to the owner include the type, date, and due date.
What the linked client can see and how to read their notes
For a «Not registered» client, records stay in your management system. If the profile is «On PawsPet» (for example, after they accept the invitation sent via ⋮ » «Invite») and the feature is enabled on the server, the client can find your records in the PawsPet app, on the pet profile, in the «Profile» tab under «Recorded by professionals», grouped by store. They can’t edit or delete them; they can only add notes, which you can see too.
Client notes appear in «History» as «New note from» followed by the client’s name in bold; a yellow dot on the avatar marks the client in the list. The PawsPet Business app has no command for marking them as read, so the bold text and dot remain; in the web version, the «Notes from» section followed by the client’s name offers «Mark as read». Notes can’t be replied to directly: if you have an order with that client, reply in the order’s «Chat» profile («Orders» tab » order), available if the order has a linked conversation.
Unlinking the client from PawsPet doesn’t delete anything you’ve recorded. An archived profile, however, makes its pets read-only until you restore it from the «Archived» filter using «Restore», if the server supports it.
FAQ
Can I delete an individual record?
The PawsPet guide describes editing a record («Edit record») but not deleting an individual entry. «Delete» in the pet’s ⋮ menu deletes the pet and all its history from the management system permanently: use it only for a pet added by mistake.
