In PawsPet, an animal changes owner only through an adoption listing, an accepted application, and confirmation of the handover by both parties. At that point, the health history follows the animal to the new owner's profile.

Before you start: who owns the profile

Check who is listed as the owner in the animal's “Profile”. This is not necessarily the person caring for the animal. Only that account can create the listing; “List for adoption” appears in the ⋮ menu if the animal is not marked as deceased.

If added as a collaborator, the foster family can update the areas allowed by their permissions, but cannot publish a listing for that profile. For this reason, it's best to decide from the outset which organization account will register the animals.

Before publishing, complete the health history in “Health”, checking that information collected about visits, vaccinations, treatments, and allergies is up to date: it will follow the animal. If there is already an active listing for the same animal, the server rejects the new listing and gives the reason.

Publish the adoption listing

The “My Pet Listings” screen is also available in PawsPet Business; these steps apply to the PawsPet app. If you see “Coming in the next update”, the feature is not yet active on the server you are using.

  1. Open the animal's details and tap ⋮ » “List for adoption”, or “Profile” » “My Pet Listings” » “New listing”.
  2. Choose “Adoption”; “Sale” is disabled in PawsPet.
  3. Select the animal; if you started from its profile, it will already be filled in. Once the listing is saved, you cannot change the selected animal: to propose another animal, you need a new listing.
  4. Write the required title and optional description, using specific, up-to-date information agreed on with the foster family.
  5. If you are posting as an individual, the price remains set to free. If the account also has a business profile, “Posting as” appears: check that the selected identity is correct.
  6. Fill in “Documents and registration” if useful. The microchip number and date of birth are copied from the profile when the listing is published and cannot be changed here.
  7. Complete the “Health declaration”: the Rabies vaccination, Deworming, Veterinary certificate, Eligible for transfer switches, plus the veterinarian's name.
  8. Check the required declaration confirming the information is accurate and the animal is eligible for transfer.
  9. Use “Save draft” to review the text with the coordinator: the listing won't be visible to others. When it's ready, tap “Publish”. The server checks the microchip, the animal's minimum age, and the publisher's eligibility requirements; if it rejects the listing, it shows the reason.

Review applications without deciding too soon

Open “Profile” » “My Pet Listings” » listing » “Applications received”. Use “To decide” for applications that still need review and “All” to review the others too. Tap an application to read its details.

The person who applies remains anonymous: you can't see their name, email, or phone number. With “Open chat”, linked to the application, you can introduce yourselves and arrange interviews and a foster-to-adopt period according to the organization's rules. Applicants using the app can only send a free-form message; any questionnaire was collected elsewhere.

“Accept application” reserves the animal and automatically rejects all other applications that are still open: use it only once you've made a decision. Acceptance cannot be undone. For an application you won't accept, use “Reject application”. Both buttons open a confirmation window, with an optional note to the other person.

In the “Manage listing” panel, “Pause” changes the visibility of the published listing. “Withdraw listing” is final: to list the animal again, you'll need to create a new listing.

Handover and transfer of ownership

From the accepted application, use “Suggest a date” to set the appointment and open “Transfer of ownership”. If needed, use “Change date” to update the appointment.

The screen is the same for the person transferring ownership and the person receiving it: it preserves a snapshot of the animal's details at the time of transfer, which remains unchanged even if the profile changes, and shows both parties' confirmations. The full microchip number is visible only to the two of you and is useful for updating the animal registry.

Before confirming, complete the checklist by checking only what you have actually verified:

  • animal seen in person;
  • microchip number verified;
  • health record and documents handed over;
  • health declaration and veterinarian's certificate read;
  • additional item required for your role as transferor or recipient.

Once all items are checked, “Confirm handover” becomes available. The app asks for one more confirmation: this action cannot be undone.

Check the “Handover confirmations” panel: it shows who has confirmed and when. Only after both of you have confirmed will the animal appear in the app under the new owner's profile, with the complete health history. The person transferring ownership keeps a read-only copy of the health data for 90 days.

What still needs to be done outside the app

The transfer in the app does not update the pet registry: follow local procedures. It does not replace any foster or adoption forms required by the organization. Agree with the new family on how to take care of these requirements and verify that they have been completed.

Hand over the health record and documents physically: attachment transfers are not documented, so don't assume they happen automatically. Also prepare the food currently in use, notes about the animal's habits, and a contact for post-adoption support. Ask the foster family to review the information before the meeting so they can provide details that match the animal's day-to-day life.

Before confirming, agree with the foster family whether to remove their access under ⋮ » “Collaborators”. There is no expiration date for collaborators invited manually. What happens to collaborators after the transfer is not documented: do not assume they are automatically removed or retained.

FAQ

Can the foster family publish the listing on behalf of the organization?

No, not if they are a collaborator: “List for adoption” appears only for the account that owns the profile.

If the foster family wants to adopt the animal, can we skip the listing?

No. A listing, an accepted application, and confirmation of the handover by both parties are still required.

What can someone see when they open the listing?

The animal's details and the health declaration, if completed; only the last 4 digits of the microchip number and a location that may be approximate to within about 1 km. Only the person who published the listing can see the number of applications.
